Who we are

Household Clerk is operated by Daniel Kitchen, a sole proprietor (“we”, “us”). This policy explains what we collect, why, who we share it with, and the choices you have. Questions go to hello@householdclerk.com.

What we collect

• Contact and account details: your name and email address, and, if you text or WhatsApp us, your phone number and WhatsApp profile name.
• What you send: emails and their attachments, photos, screenshots, PDFs, and text messages. These often mention your children, their school, teachers, and teams, and other families. We process that information only to find the events and to-dos in it.
• Household details: your children’s first names or nicknames, grades, schools, and teams, and the senders you tell the clerk to trust. We do not ask for last names or birth dates, and you should not add them.
• Calendar data: if you connect Google Calendar, the data described under Google user data below.
• Your decisions: which suggestions you saved, edited, or skipped, so the clerk does not suggest the same thing twice.
• Technical data: IP address, browser and device type, and timestamps, used to keep the service secure and working. The app uses cookies to keep you signed in. This website has no analytics, advertising, or tracking scripts.

How we use it

• To read what you send and suggest calendar items.
• To add the items you approve to your calendar, and to update them when things change.
• To send you the replies, reminders, and notices you have asked for, by email, text message, WhatsApp, or notification.
• To keep the service secure, prevent abuse, and fix problems. When you ask for help with a specific item, we may look at that item to answer you.
• To meet legal obligations.

We do not sell your information, use it for advertising, or build marketing profiles from it.

How the AI reads your messages

Household Clerk uses Anthropic’s Claude to read what you send. To do that, it sends Anthropic the content of each message and, so it can catch duplicates and changes, the titles and dates of your upcoming events. Anthropic processes this for us as a service provider and, under its commercial terms, does not use it to train its models.

We do not use what you send to train AI models either. If that ever changes, it will happen only with your separate opt-in, and we will tell you first.

Accuracy testing (optional). We may ask whether we can keep specific documents you sent so we can test the clerk’s accuracy on real examples. Nothing is kept for this unless you say yes to a specific request; those documents are stored separately, and you can withdraw at any time.

Who we share it with

We share information only with the service providers that run Household Clerk for us, only as far as their part requires, and under terms that limit how they may use it:

We also disclose information when the law requires it, to protect someone’s safety, or as part of a sale or merger of the service, in which case the promises in this policy continue to apply to your information.

Text messaging

Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

Google user data

If you sign in with Google or connect Google Calendar, Household Clerk accesses the following, and only after you grant permission on Google’s consent screen:

• Basic profile (name, email address, profile picture): to create your account and sign you in.
• Your list of calendars (read only): so you can choose which calendar receives events.
• Calendar events: to add the events you approve; to update or remove an event when you approve a change to it (for an event you created yourself, only when you approve that specific change); and to read your upcoming events so the clerk can warn you about clashes, avoid adding duplicates, and notice when something already on your calendar has changed.

What we store: the identifiers of events Household Clerk created, so we can update them later; a working copy of the title, time, and location of your upcoming events, refreshed as your calendar changes; and your Google access tokens, encrypted.

Who receives it: only the providers that run these features. Anthropic receives the titles and dates of upcoming events so the clerk can recognise duplicates and changes, and our hosting and database providers store the data. No person at Household Clerk reads your calendar data unless you ask us to for support, or it is necessary for security or to comply with the law.

What we never do: sell Google user data, use it for advertising, or use it to develop, improve, or train AI or machine-learning models.

Removing access: disconnect in Household Clerk or at myaccount.google.com/connections. We lose access immediately and delete the stored copy within 7 days. Events already added stay on your calendar.

Household Clerk’s use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Children

Household Clerk is for parents and guardians. It is not directed to children under 13, and we do not knowingly collect personal information from children. Information about your children reaches us only from you: the first names you add, and what the messages you send say about them. We treat it as sensitive, use it only to run the service for your household, and delete it on the same schedule as everything else. If you believe a child has used Household Clerk, email us and we will delete their information.

How long we keep it

When you ask us to delete your account, we delete your information within 7 days, revoke calendar access immediately, and let backups age out within 30 days.

Your choices and rights

• Access, correct, export, or delete: email hello@householdclerk.com. We delete within 7 days and answer other requests within 30 days.
• Text messages: reply STOP to any message.
• Google Calendar: disconnect at any time, as described above.

Depending on where you live (for example California, Colorado, Connecticut, or Virginia), you may have legal rights to access, correct, delete, or obtain a copy of your information, and to opt out of its sale, targeted advertising, or profiling. We do not sell personal information or share it for cross-context behavioral advertising, and we do not use it for targeted advertising or profiling. To use any of these rights, email us. We will not treat you differently for doing so.

Security

Information is encrypted in transit and at rest. Calendar access tokens are encrypted with separate keys. Access to household data is limited and logged. No system is perfectly secure; if a breach affects your information, we will notify you as the law requires.

Where the service runs

Household Clerk is offered in the United States, and we store your information in the United States.

Changes to this policy

If we make a material change, we will tell you by email or text message before it takes effect. The date at the top shows when this policy last changed.
